Privacy Policy

1. What We Collect

When you purchase the Software: Your name if provided, email address, license key, license status, limited device-binding information, payment identifiers, and payment information processed by Stripe. We do not store credit card numbers or full payment credentials.

When you contact support: Your name, email address, license number if provided, message contents, and related correspondence.

When you use the desktop Software: Your job search workspace is stored locally on your device. CareerFlip LLC does not receive your resume, job-search data, contact lists, outreach drafts, or local application database unless you choose to send information to us for support.

The Software may collect limited publicly available information about other people that you choose to research, including their name, work email address, job title, employer, and public profile URL. CareerFlip LLC does not receive that information through the Software. It stays on your device and is processed through third-party providers you configure. During the beta, AI requests using a Company-supplied OpenRouter key are associated with the Company's provider account, as described below.

2. Local Processing

The Software processes your workspace on your device. Your resume, profile information, discovered contacts, connection maps, and outreach drafts are stored in a local database on your computer. We do not operate a cloud workspace for this data and have no ordinary ability to access, view, or retrieve your locally stored data.

The Software may contact CareerFlip servers only for trial activation and checks, license purchase, license validation, update checks, downloads, and support/reporting features you initiate. License validation may send your license key and a hashed device identifier so we can enforce license limits. While the app is open it checks your license about once a day. If it cannot reach our server for 30 days, it asks you to reconnect before starting new searches.

CareerFlip sends a hashed device identifier and app version to our server when activating and checking your trial, to prevent repeat trials and check whether an update is required. The identifier is a one-way SHA-256 hash of your computer's hardware ID (the platform UUID on Mac, the system hardware UUID on Windows). It is pseudonymous, not anonymous: it does not contain your name or email address, but it is the same for every check from the same computer, and anyone who knows that computer's hardware ID could compute it. With it, our server stores your trial's start and end dates, the first and most recent app version that checked in, and the time of the last check. It does not store your IP address, although our hosting provider (Cloudflare) processes it to deliver the request and to limit repeated requests. We keep this record for as long as CareerFlip offers free trials, so the same computer cannot start a second one. To ask for it to be deleted, email privacy@careerflip.ai.

3. Third-Party Services

The Software connects to third-party services such as AI processing, search, data, and email providers. You normally sign up for and control these accounts yourself. During the beta, you create your own Apify account and the Company may provide a limited OpenRouter key. When provider calls are made:

  • Requests go directly from your computer to the third-party service
  • Your credentials are stored locally on your machine
  • We do not intercept or proxy these requests through CareerFlip servers. If we supplied your beta OpenRouter key, we control that key and can see its provider-reported usage information. Request and response content may also be available to the Company if logging or observability is enabled on its OpenRouter account
  • Selected job, resume, contact, and draft-message data may be included in those provider requests as needed for the feature you run
  • Each provider's privacy policy and terms govern how they handle your data
  • The Software works with third-party providers, which may include your Apify account for search and data collection and an OpenRouter key supplied by you or by the Company for beta testing
  • When you run a feature that uses AI, selected job, resume, contact, or draft-message data is sent from your device to the provider you have configured, and that provider processes it under its own terms
  • These providers may cache or retain data according to their policies. For a Company-supplied beta OpenRouter key, requests are associated with the Company's OpenRouter account; for accounts you create, they are associated with your account

We encourage you to review the privacy policies of each Third-Party Service you use in connection with the Software.

4. Website Analytics and Cookies

This marketing website uses Cloudflare Web Analytics to count page views and see which websites send visitors to us. Cloudflare Web Analytics does not use cookies, does not track you across other websites, and does not build a profile of you. Our hosting provider, Cloudflare, may set a strictly necessary security cookie to protect the site from abuse. Server logs may include IP address, user agent, request path, and timestamp.

When you fill in a form on this website (the beta application, the launch list, or the contact form), we receive what you enter, including your optional answer to "How did you hear about CareerFlip?". At checkout, Stripe asks the same optional question and stores your answer with your purchase.

The Software itself (the desktop application) does not set browser cookies and does not send your local workspace to CareerFlip LLC.

5. Email Communication

If you provide your email when you purchase the Software, we may send you product updates, security notices, and support information. You can unsubscribe at any time by clicking the unsubscribe link in any email or by contacting privacy@careerflip.ai.

6. Data Sharing

We do not sell, rent, trade, or share your personal information with third parties, except:

  • Payment processing: Your payment information is shared with Stripe solely to process your purchase
  • License and hosting infrastructure: Purchase and license records may be stored with our hosting/database providers to deliver downloads and validate licenses
  • Email delivery: Support requests and license emails may be processed by our email service provider
  • Legal requirements: If required by law, subpoena, or legal process
  • Business transfers: In connection with a merger, acquisition, or sale of assets, your information may be transferred to the successor entity

7. California Privacy (CalOPPA)

CareerFlip LLC follows the California Online Privacy Protection Act (CalOPPA), Cal. Bus. and Prof. Code sections 22575 to 22579, for California residents who visit the website or buy the Software. CareerFlip LLC is not a covered business under the California Consumer Privacy Act or the California Privacy Rights Act. It does not meet the thresholds in Cal. Civ. Code section 1798.140, because it does not have annual gross revenue over 25 million dollars, does not buy, sell, or share the personal information of 100,000 or more California residents or households, and does not earn 50 percent or more of its revenue from selling or sharing personal information. CareerFlip LLC also does not sell or share personal information as those terms are defined by that law.

  • The categories of personal information collected and the categories of third parties that receive it are described in the What We Collect, Third-Party Services, and Data Sharing sections of this policy
  • CareerFlip LLC notifies you of changes to this policy as described in the Changes section, and the effective date appears at the top of this policy
  • CareerFlip LLC does not track you across other websites over time and does not respond to Do Not Track signals, because it does not perform that kind of tracking. It does not allow third parties to collect personal information about your activity across other websites through the marketing website

CareerFlip LLC does not sell or share your personal information. To review or request changes to the personal information CareerFlip LLC holds about you, contact privacy@careerflip.ai.

Canada (PIPEDA)

If you are in Canada, the Personal Information Protection and Electronic Documents Act (PIPEDA) may apply to the purchase and support data CareerFlip LLC handles. You may ask to access the personal data CareerFlip LLC holds about you, ask to correct it, and ask how it is used and shared. Requests go to privacy@careerflip.ai. CareerFlip LLC relies on your consent and on performance of your purchase as the basis for handling that data. The contact data you collect using the Software stays on your device, and you are responsible for handling it under PIPEDA or other law that applies to you.

8. Data Retention

We retain the following data for the following periods:

  • Purchase and billing records: Retained for as long as necessary for accounting, tax, and legal compliance purposes (typically 7 years)
  • License records: Retained while needed to validate licenses, prevent abuse, support refunds/chargebacks, and provide customer support
  • Email address: Retained until you unsubscribe or request deletion, unless needed for billing, license, legal, or support records
  • Support correspondence: Retained for up to 3 years after your last communication

Since we do not collect usage data from the Software, there is no usage data to retain or delete.

9. Your Rights

Regardless of your location, you may request:

  • Access to the personal data we hold about you
  • Correction of inaccurate personal data
  • Deletion of your personal data (subject to legal retention requirements)
  • A copy of your personal data in a portable format

Contact privacy@careerflip.ai to exercise any of these rights. We will respond within 30 days.

10. European Economic Area (EEA) / UK — GDPR

If you are located in the European Economic Area (EEA) or the United Kingdom, the following additional provisions apply under the General Data Protection Regulation (GDPR) and the UK GDPR:

10.1 Data Controller

CareerFlip LLC is the data controller for the personal data it handles directly, which means your purchase, license, support, and website data. Its address is 30 N Gould St Ste N, Sheridan, WY 82801, and data protection inquiries go to privacy@careerflip.ai. CareerFlip LLC is not the controller of the contact data you collect using the Software. You are the controller of that data, because you decide the purpose and the means of collection, and CareerFlip LLC neither receives it nor decides how it is used.

10.2 Lawful Basis for Processing

We process your personal data on the following lawful bases:

  • Contract performance (Art. 6(1)(b)): Processing your name, email, payment information, license key, and device-binding information is necessary to fulfill your purchase of the Software
  • Legitimate interests (Art. 6(1)(f)): Processing a hashed device identifier and app version to prevent repeat free trials and to require updates to unsupported trial versions
  • Legitimate interests (Art. 6(1)(f)): Anonymous website analytics to improve our service, provided this does not override your fundamental rights
  • Consent (Art. 6(1)(a)): For non-essential cookies and marketing emails, which you may withdraw at any time
  • Legal obligation (Art. 6(1)(c)): Retaining billing records as required by tax and accounting laws

10.3 Your GDPR Rights

In addition to the rights listed in Section 9, you have the right to:

  • Restriction of processing: Request that we limit how we process your data in certain circumstances
  • Object to processing: Object to processing based on legitimate interests, including for direct marketing purposes
  • Withdraw consent: Where processing is based on consent, you may withdraw it at any time without affecting the lawfulness of prior processing
  • Lodge a complaint: You have the right to lodge a complaint with your local data protection supervisory authority if you believe your data has been processed unlawfully

10.4 International Transfers

Your purchase data is processed in the United States. For transfers from the EEA/UK to the US, we rely on Stripe's compliance with applicable data transfer mechanisms (including Standard Contractual Clauses where required). Apart from license and trial checks (a license key, a hashed device identifier, and the app version), the Software does not transfer data to us; your workspace is processed locally on your device.

10.5 Response Time

We will respond to GDPR-related requests within one calendar month. If a request is complex, we may extend this by an additional two months, and will inform you of the reason for the delay.

11. Children's Privacy

The Service is intended only for adults. You must be at least 18 years old to use the Service. The Service is not directed to children, and it is not directed to children under 13 within the meaning of the Children's Online Privacy Protection Act. CareerFlip LLC does not knowingly collect personal information from any child under 13. If CareerFlip LLC learns that it has collected personal information from a child under 13, it will delete that information promptly. A parent or guardian who believes a child under 13 has provided personal information may contact privacy@careerflip.ai to request deletion.

12. International Data Transfers

If you are accessing the Service from outside the United States, your purchase information (name, email, payment details) will be processed in the United States. By purchasing the Software, you consent to this transfer. We take reasonable measures to ensure your data is treated securely and in accordance with this Privacy Policy. For EEA/UK-specific transfer mechanisms, see Section 10.4.

13. Data Breach Notification

If a data breach affects your personal information, CareerFlip LLC will notify affected users and the relevant authorities without undue delay and within the time required by applicable law, including GDPR Articles 33 and 34. GDPR sets a 72-hour deadline for notifying the supervisory authority, not for notifying every user.

14. Security

We use reasonable security measures to protect purchase and billing information, including encryption in transit (TLS) and secure payment processing through Stripe. Since job search data is stored locally on your device, its security depends on your device's own protections (disk encryption, passwords, etc.).

15. Changes

We may update this policy. Changes will be posted on this page with a revised date. If we make material changes that affect how we handle your personal data, we will notify you by email.
